How we cover a conference

One connection in, the right number of access points out, and the things that matter on their own network.

1. The source

A bonded cellular kit combining two carriers, checked against the venue's coverage before it ships. Outdoors with sky, a Starlink kit instead or as well.

2. The rooms

Managed access points placed per room, labeled and marked on your floor plan: registration, general session, breakouts, sponsor lounge.

3. The networks

Registration, the stage, point-of-sale, and your staff on a priority network. Attendees and sponsors on a guest network with its own password.

4. The day

Plug in, take a test connection in each room, done. We can see the gear remotely and the support line answers during the event.

Who rents it

  • Conference and meeting planners running multi-day programs in hotels where the house Wi-Fi is shared or metered
  • Corporate events with registration kiosks, a stage, and a hybrid feed that cannot wait on the venue's IT
  • Associations and nonprofits whose sponsor lounge and session rooms need a network the sponsor's demos can rely on
  • Agencies producing a client conference who want one vendor for the network, the registration, and the kiosks

Registration and lead capture are what we do the rest of the week: event registration systems run on the same network.

Starlink or bonded cellular?

The venue decides. Here is the rule we use on every quote.

Open sky

Starlink. Cheapest, simplest, and the most common rental.

No sky

Bonded cellular. Two carriers combined into one connection, failover built in.

Stream, broadcast, or sponsor footprint that cannot drop

Both on one router. One path fails, the other carries the feed.

Not sure

Send two photos: where the devices will sit, and the nearest spot with open sky. We will tell you which kit, or whether you need one at all.

Conference Wi-Fi FAQ

How much does conference Wi-Fi rental cost?+

A bonded cellular kit is $1,500 per week. Access points to cover extra rooms, the data plan, shipping, and an on-site tech are quoted with the order and sized to your attendee count and rooms. Hotel-provided bandwidth is usually priced per day and per device tier; for a multi-day event our kit is often the cheaper option and it is yours alone.

Can one kit cover 400 people?+

Not everyone at once on one router, and we will not pretend otherwise. What works for a 400-person conference is one bonded kit as the internet source plus managed access points placed per room, with attendees on a guest network and registration, the stage, and sponsors on a priority network. Tell us the rooms and the headcount and the quote shows how many access points you get.

Why not just use the hotel's Wi-Fi?+

Hotel Wi-Fi is shared with every guest in the building, often throttled, and the price for a dedicated allocation is set by the venue's provider. If it holds, great. Our kit is the plan for when it does not, or when you need registration and the stage to keep working regardless of what the house network does.

Does Starlink work in a hotel ballroom?+

No, the dish needs open sky. A patio or a window ledge within a cable run of the ballroom sometimes works, and we will tell you if it does. Indoors, bonded cellular is the kit, and we check carrier coverage at the venue before it ships.

Can you separate attendee Wi-Fi from the registration and stage network?+

Yes. Staff, registration, point-of-sale, and the stage laptop sit on a priority network. Attendees and sponsors sit on a guest network with their own password. If attendees saturate their network, the stage does not notice.

Will it run a hybrid session or a livestream?+

A 1080p stream needs roughly 5 to 8 Mbps of sustained upload. Bonding two carriers is what makes that hold indoors. For a keynote that cannot drop we pair bonded cellular with a Starlink kit outside, so there is no single path.

Do I need an IT person?+

No. The kit and the access points arrive preconfigured and labeled, with placements marked on your floor plan. Plug in, join the printed network, take a test connection in each room. Our support line answers during setup and the event, and we can see the equipment remotely. A PivotXP tech on site is available for multi-room footprints.

How far ahead should I book?+

Kits ship the next business day after the contract is signed. Send the venue, the dates, the rooms, and the headcount and you will have a quote the same day. For an event inside a week, call.
